Offer your Corporate customers a Fleet Account to manage and track the washes for their Fleet of Vehicles. This also is a great way to increase customer loyalty.
There are three important steps in setting up a Fleet Account:
Fleet Account Customers can be offered a dollar or percentage discount off regular wash services. The Fleet Account can be exempt from specific tax exemptions or all tax exemptions. Retracts can be set up in the tunnel to identified Fleet Vehicles (like the top brush can retract to avoid the light bar on the roof of a police vehicle). Profiles are used to customize the available wash services for the Fleet Account.
There are two different ways to set up a Fleet Account based on how they intend to pay: Invoice Fleet Account or set up Prepaid balance where each wash reduces the balance. You can either invoice your Fleet Customers and they can make ROA payments to pay off the invoices or they can prepay the Fleet Account and carry a balance of funds so that each wash reduces that balance. The prepaid option can periodically add funds that are held for the specified Fleet and be available for use by any customer of that Fleet. At this point, you can only add funds at the POS and not at the Auto Sentry. However, you can purchase Prepaid Fleet washes at both the POS and the Auto Sentry®.
There are bonuses you can offer your Prepaid Fleet Accounts for prepaying their account, and even offer Progressive Bonuses based on different amounts they prepay.
All Customers and Vehicles for a Fleet Account will be set up the same based on how the Fleet Account intends to pay. A Fleet Customer can add as many Vehicles as they want to the Fleet Account. The Vehicle is identified with an RFID tag or a customer card. A customer card is a magnetic-stripe card that is distinguished in the system with a percentage (%) symbol, whereas the RFID tag numbers begin with a pound (#) sign.
Once the system identifies the fleet customer, the Auto Sentry flex presents the applicable wash selection profile based on the Customer or Vehicle. Every Fleet Account can customize the wash menu to include only the wash services approved by each Fleet Account Director.
IMPORTANT: When a Fleet Account is created, select the fleet type carefully. You cannot switch from a Prepaid Fleet Account to an ROA Invoiced Fleet Account or vice versa. In order to change from an Invoiced to a Prepaid Fleet Account, you will need to delete the ROA Invoiced Fleet Account and add a new Prepaid Fleet Account, and then add all Customers and Vehicles to the new Fleet Account.
First, determine which payment process the Fleet Account would like to use:

The Fleet Account is set up like a charge account where the fleet washes are invoiced and paid at a later date. (Default)

The Fleet Account prepays and carries a balance of funds so that each wash reduces that balance.
Reports for the car wash management and invoices for the Fleet director can be printed with date and time stamped transactions.
You can configure the number of receipts to print for each Fleet Account transaction. You can also configure, if you would like, a signature line to print on the receipt.
If configured in the system, you can allow the purchase of a gift card with a fleet account.
Fleet Rules are used to narrow down how many times a site can use the wash.
