Add credit card for club membership

For club membership recurring billing, customer credit card information is securely encrypted and stored solely with the site's credit card processor, ensuring it's never stored on ICS computers or devices.

Important Security Note: To establish a recurring ID for a customer in WashConnect, the CAGE-PADSS software must be actively running and connected to your card processor. This software facilitates a secure, SSL-encrypted transmission to the processor to instantly verify the credit card. For manual credit card entry, CAGE-PADSS must also be running, and the user requires card processing rights and must be logged into CAGE-PADSS. 

NOTE: Manual credit card entry is only supported by Transaction Central/TransFirst processors, not by Transaction Express or First Data, due to stringent PCI Compliance security requirements.

PCI Compliance and Data Handling: To ensure the highest level of security for payment information and maintain PCI compliance, CAGE-PADSS approves the credit card overnight without needing to save the full credit card number in any car wash database. The credit card data remains securely encrypted with the card processor. For security and PCI compliance, only the last four digits of the credit card are visible at the car wash site.

Follow these steps to set up a customer's credit card for automatic recurring billing (processed overnight on the club's expiration date). The system generates a recurring ID that the card processor uses to automatically bill the customer for their club membership.

  1. Select Customers Manage Customers.
    The Manage Customers tab appears.
  2. Search for the Customer.
  3. Click to select the customer record, and then click the Edit Customer button.

Double-click the customer record.
The Customer Information, Vehicle Information, and Customer Group(s) tabs appear.

  1. Click the Recurring ID button.
    The message, "Is credit card present," appears.

     
  1. If the credit card is available, click Yes, and then swipe the credit card.
    –or–
    If you cannot swipe the credit card for any reason, click No.
     

Manual Entry Credit Card Form

IMPORTANT: Manual credit card entry is only supported by Transaction Central/TransFirst processors, not by Transaction Express or First Data, due to stringent PCI Compliance security requirements. 

If you answered, "No, the credit card is not available," complete the following fields that are required in the Processing dialog:

  1. For manual credit card entry, the CAGE-PADSS software needs to be running and a user with card processing rights must be logged into CAGE-PADSS.
  2. In the Processor box, select Transaction Central or Transfirst.
    IMPORTANT: If site is using Transaction Central/Transfirst, the site will not be PCI compliant.  ICS does not support manual entry of credit cards with any new ICS start up locations.
  3. In the Account Number box, enter the credit card account number.
  4. In the Expiration Date boxes, select the month and year of expiration.
  5. In the Name on Card box, enter the name as it appears on the credit card.
  6. In the CID/CW2 box, select the type of credit card.
  7. In the Order Number box, enter the credit card's billing zip code.
  8. In the Address, City, State, and Zip Code boxes, enter these boxes if available.

The credit card information is securely stored at your card processor. There is no credit card information stored in WashConnect on any of your ICS computers or devices for PCI Compliance. For verification, you can view the basic credit card information for the Club Card on File.

NOTE: For PCI Compliance safe and secure data, Cage-PADSS will approve the credit card overnight without the need to save the credit card number in any car wash database. The credit card is securely encrypted with the card processor, and for security reasons, the only credit card information available at the car wash site is the credit card’s last four-digits.

  1. Click OK.
    The customer information and vehicle information is saved. If the Billing Status wash changed to Active and the Expiration Date was changed, then auto bill will take place overnight on the Expiration Date.
