POS Cash Management

These instructions are assuming the Safe is enabled in the Software.

There are four POS cash management action tools available for the shift register. When you perform any one of
these four actions, a journal entry is automatically created:

  • Open Shift - Auto Verify
  • Remove Touch POS
  • Add Money to POS Drawer - Auto Verify
  • Close Shift

IMPORTANT: Supervisor needs to manually Verify these Journal entries during the shift because it’s
more complicated to make any corrections after you have closed the shift.



If you do anything with cash outside of a sales transactions, a computer entry needs to document the movement of cash. There are different procedures for each situation dependent on if the site is using the safe for the POS or not.

Using Safe for POS:

  • Open shift screen is the same as it would be for opening a shift on a POS without using the safe.
  • Users cannot open a POS shift using the safe with Express Cash, only by entering individual denominations.
  • Moving money to and from the POS will also be adding or removing it from the Safe.
  • All money will be entered into the Safe and a deposit will then be made from the perspective of the Safe.
  • Since all money moves in and out of the Safe the Beginning and Ending Bank will always be zero and money that comes in or out of the POS will always be an add or remove.

    Not using Safe for POS:

    • Open shift screen is the same as it would be for opening a shift on a POS using safe.

    • Users can open a POS shift using Express Cash or by entering in individual denominations.

    • Moving money to and from the POS will count as either an add or a deposit.

    • Each POS configured without a safe will have its own deposit.

    • The Beginning and Ending Bank of the POS will always need to be filled out and taken into account or the shift will show as being over/under if not filled out correctly. For example, the Beginning Bank of a Shift and the Ending Bank of the same shift should be the same.  Any money that is entered into the drawer will be entered into the Deposit side when closing the shift.   If there is less money when closing the shift than there was for the Beginning Bank then there should be something such as a Payout to explain where the money has gone.  This way if someone enters a Beginning Bank of $100 and then does a $20 Payout, they can close the shift with $80 if no sales were done and the shift will still come out even.  In this situation however, the user might still get a message when they open the POS shift the next day if they attempt to open the shift with $100 because it doesn't match the ending bank of the previous day which was $80.

    • Regardless if the site is using the Safe or not using the Safe, the ability to open the shift and close the shift with or without printing a report.

    • The Quick Close Shift button is used for sites that have multiple shifts throughout the day. It gives them the ability to quickly close the first shift and have the cashier for the second shift take over. The cashier for the first shift can take the cash drawer and go to a room that is safe and count the money, and then edit the WashConnect Journal record to enter the number for each denomination that was in their drawer. This makes it quicker for cashiers to start their shifts.
